CATALOGUING EQUIPMENT J. McRee (Mac) Elrod
27 January 2010
Equipment may be catalogued using AACR2 Chapter 10 ... Realia.
The one change which would be helpful to patrons would be to use the
non AACR2 GMD 245$h[equipment], since few know the meaning of
'[realia]", nor think of equipment as such.
The SMD should be as specific as possible. Note that you have a 655
genre heading rather than a 650 subject heading, since the item is, as
opposed to being about, equipment.
MARC21 field order is used for suggestions:
Fixed Fields
LDR/06 (Type):
r = three-dimensional
LDR/07 (Bib lvl):
m = monograph/item
LDR/09 (Coding):
blank = MARC-8
Some systems will not load a record unless blank
LDR/17 (Enc lvl):
blank = full record book in hand
1 = full record book not in hand
2 = less than full record
8 = CIP record (upgrade)
i = OCLC full record; prefer MARC21 code
k = OCLC less than full; prefer MARC21 code
LDR/18 (Des cat form):
a = AACR/ISBD
008/06 (Date type):
s = single date
n = unknown (try to use q and guess decade)
q = date in question, e.g. 194u
008/07-10 (Date one):
year of manufacture
008/15-17 (Country):
at = Australia
cc = China
enk = England
fr = France

Variable fields
024 Other standard identifier
Equipment often has a model number and/or serial numbers.
These may be entered in repeating 024 7 $a, with source in
$2, e.g. 024 7 $a1234567$2GE model number.
Utlas 090$e, MARC 852$p or 876$a are other options for serial number.
040 Cataloguing agency
Field 040 says $a who catalogued; $b in which language (LAC records
only); $c who made it machine readable; and $d who finished the record.
Today originals are usually done in one operation online, but use 040
aCaBNvSL$cCaBNvSL$dCaBNvSL (substitute your NUC code for SLC's). For
derives leave in $b language code (may be used by a Quebec libary to
determine display - aka print - constants generated by 246 indicators);
repeat the 040$a code in $c if lacking; and add $dCaBNvSL (or your code)
at the end. MARC record checking software expects to find at least
subfields $a and $c.
For derived records, replace any existing $d other than $dDLC.
050 LCC
Library of Congress call number (LCC); In MARC record key
as 050 2nd indicator 0 (assigned at LC) or 4 (local), e.g.: 050 4
$aAB1234.5$b.D78 1998, or if two Cutters, 050 4 $aAB123.5.C6$bD78
1999. Note period for first Cutter, $b for second, both for one
Cutter, but only one of each.
082 DDC
Dewey Decimal call number (DDC); 2nd indicator 0 if assigned
by LC, 4 if local. Omit Cutter. Use " / " to indicate natural
breaks. In OCLC records, locally assigned DDC numbers plus Cutter
are keyed in 092.
090 Local call number.
MARC tag number varies with system. At SLC coded with slashes for
line breaks, e.g.:
090 0 $aAB/1234.5/C6/D78/1998$bMAIN$c1-2$d1-2 ($b = location,
$ccopies, $dvolumes)
In some OCLC records keyed like 050 and used for locally assigned LCC
numbers.
092 see 082.
245 Title
The title as on the piece of equipment. If there is no title,
supply onen in square brackets.
In a MARC record, use 1st indicator 0 for title main entry.
245$h[gmd] General Material Designation
Although not an AACR2 GMD, SLC patrons like 245$h[equipment], as
opposed to $h[realia], which they prefer nor naturally occuring
objects.
246 Alternate title
Alternate title which represents the whole piece of equipment,
e.g., a portion of the title.
250 Edition
Model and serial number.
260 Manufacturer
e.g.,
260 $aTokyo, Japan :$bSamsung,$c2009.
300 Collation e.g.,
300 $a1 computer ;$c20 x 40 x 50 cm. +$emonitor, mouse, and keyboard.
300 $a1 Kindle reader ...
300 $a1 MP3 reader ...
Equipment is unlikely to be part of a series, but if so:
440 Series as on item and traced (obsolete)
Change to 490 1, and cut and past content into 830.
490 Series as on item.
Beginning June 1, 2006, the US Library of Congress is coding all
series as 490 0.
It has been SLC policy since January of 1979 to have no 490 0 in
bibliographic records. (Some but not all SLC customers index 490
in their series and/or title indexes, making access uneven between
customers.) When you encounter a 490 0, and it contains no subject
word, or a responsible corporate body or person, e.g., "Penguin
books", change the 490 0 to a 500 quoted pseudo series statement.
If the 490 0 transcribed series statement contains a subject word,
e.g., "Studies in chemistry", change the 490 0 to 490 1, and enter
the series in 830 with 2nd filing indicator 0-4. If the series title
is generic, e.g., "Report" or "Works", and has been established in
either the LC or LAC authority files, add the name of the responsible
ody or person in curves.
Provide ";$v" issue number or year as relevant. Include ISSN in $x
if available.
All series changed from 490 0 will be under title. SLC will not
create 800/810/811. for current LC derived or original cataloguing.
Those headings in legacy and Amicus records will be left unchanged,
but 830 for the 8XX$t will be added for the benefit of customers who
do not index 8XX$t.
500 Notes
Descriptive phrases from the item may be given in quotes.
501 Accompaning material
505 8 Contents
May include programs on a computer, indication of contents of
a reader. A phrase such as "Contains 20 novels" may be used rather
than listing contents, if each title has its own bibliographic record.
506 Restrictions on use
538 System requirements
May include warranty information.
655 Genre
What the item is, e.g., 655 0 $aComputers
710 Corporate body
Some libraries enter under manufacturing company; SLC does so only
if requested.
773 Host item entry
May be used as a link to the reader in the record for each title
on an electronic reader, such as a Kindle or MP3.
773 0 $tKindle reader$i<local call number>
852$p Piece indentifier, or 876$a Internal item number
Consider for serial number; SLC uses Utlas 090$e, and maps
on export

OLAC guide for playaways:
http://www.olacinc.org/drupal/capc_files/playawaysPDF.pdf
SLC considers 245$h[electronic resource] to be misleading, and,
prefers (in anticipation of RDA/MARC21 338-336) a compoung GMD and
SMD, e.g., 245$h[equipment : sound recording]*, 300 $a1 MP3 reader +
performed music, or, + spoken word.
*AACR2 term; spoken word, or, performed music, with RDA.
MARC21 337 Carrier type needs "equipment".
